Retreat Centre Booking Terms and Condtions

Thank you for considering Penhurst Retreat Centre for your upcoming retreat. To ensure a smooth and enjoyable experience for all guests, please carefully review the following booking terms and conditions. By making a reservation at our retreat centre, you agree to comply with these terms.

Booking Confirmation and Payment


Residential Bookings

  • A non-refundable deposit, of £50 per room, is required to secure your reservation.
  • Full payment must be received by 4 weeks prior to the retreat start date.
  • Payments can be made via card and by Bank Transfer (BACS)

Group Bookings

Both the deposit and the final payment for all group bookings should be made by the group organiser as a single payment.

Non Residential Bookings

  • The full rate is required at the time of booking to secure your reservation.
  • Payments can be made via card and by Bank Transfer (BACS)

Cancellation Policy

Residential Bookings

Payment and acceptance of a deposit constitute a legally binding contract.

Cancelled bookings cause financial loss to Penhurst Retreat Centre if they cannot be refilled. For this reason, charges apply to all cancelled bookings.

Cancellation charges apply to the following notice periods in advance:

  • More than 4 weeks Deposit only
  • 2-4 weeks 50% of the total cost
  • Less than 2 weeks 100% of the total cost

We advise customers to take out appropriate travel insurance to cover their stay in the event of cancellation, including cover for cancellation related to Covid.

If the centre is unable to fulfil your booking for any reason and has to cancel you will be entitled to a refund or to carryover payments to future dates, whichever is your preference.

Non-Residential Bookings

  • Payment constituets a legally binding contract.
  • Cancelled bookings cause financial loss to Penhurst Retreat Centre if they cannot be refilled. For this reason, the non-residential rates are non-refundable.

Accomodation

  • Room assignments will be made based on availability and may be subject to change.
  • Room rates are based on single occupancy.
  • Check-in is between 3pm - 4.30pm unless agreed (at least 2 weeks) prior to arrival as we do not have staff after hours.
  • Check-out - rooms need to be vacated by 10am on the day of departure even if you are leaving in the afternoon. You will have access to other public areas in the Centre during that period.
  • Meals - it is assumed that all meals will be taken as our rates are full board and we cook for the numbers booked in. If you have special dietary requirements, please inform us at the time of booking.

Facility Use

Guests are expected to treat the retreat centre and its facilities with respect

Damage and Liability: Guests and visitors will be liable for the cost of repair or replacement of any damage caused to the buildings, grounds or property of the centre for which they are personally responsible.

Liability

Penhurst Retreat Centre is not liable for any injuries, losses or damages incurred during the retreat.

Participants are encouraged to obtain travel insurance that covers unforseen events.

Force Majeure

Penhurst Retreat Centre is not liable for circumstances beyond its control, such as natural disasters, acts of terrorism or other unforseen events

Privacy

Personal information provided by guests is stored securely in the centre’s records system to be used solely for the centre’s purposes. It will not be passed onto anyone else except in order to meet any legal obligations. We do not store credit card details, neither do we share customer details with any third parties.

Miscellaneous

Smoking is prohibited in all indoor areas of the retreat centre.

Pets are not allowed unless otherwise specified in writing. Assistance dogs are the only pets allowed on the premises.

In all cases Penhurst Retreat Centre reserves the rigth to cancel a bookign that has been reserved or booked. Should this occur, we will endeavour to inform you as soon as we can and outline options available.

By confirming your reservation, you acknowledge that you have read and agree to these booking terms and conditions. Penhurst Retreat Centre reserves the right to modify these terms at any time and any changes will be communicated to the booking party.
